Departure creates an easy-to-miss records problem: an employee may know where a document lives today without knowing how to obtain it later. Before leaving, make a short inventory of your own employment records and ask about the future retrieval route. The goal is reliable access to personal documents, not a broad export of workplace files.

Ask about the transition explicitly

Victoria’s Secret & Co.’s public associate information page describes employee self-service and a pay-information resource. It does not establish a universal post-departure access period. Do not assume a login will stay active, stop immediately or provide the same documents indefinitely. Ask an authorized contact what applies to your situation and keep the response.

Useful questions include where former associates request their own statements, how a future tax document is delivered, and how to update contact information after departure. Ask whether a current personal email or mailing address is needed through an approved process. Avoid sending a full identity document or tax identifier by ordinary email merely because you want the question resolved quickly.

Use an invented final-week inventory

In a fictional case, Lee’s last scheduled workday is approaching. Lee lists the personal statements already saved, identifies a missing period and notes that the latest payment does not necessarily include all recent work. Instead of calling the newest file “final pay,” Lee labels it with its actual payment date and covered period.

Lee also has an unresolved question about one time entry. The inventory links to the original request, the reply and the record being reviewed. Leaving the job does not transform an unanswered question into a resolved one. Lee asks which verified contact route remains appropriate and preserves the specific next information needed.

Nothing in this scenario establishes when final wages are due, whether unused leave is payable or what a particular company will provide. Those questions depend on applicable law, the facts and relevant policies. Seek timely, qualified guidance rather than using an organizing checklist as a substitute for a legal deadline.

Download selectively and test the files

  • Save only your own records that you are authorized to retain.
  • Check the period, identity and completeness of each download.
  • Open the files away from the original session to confirm they are usable.
  • Keep originals separate from annotations and sharing copies.
  • Record the verified route for later requests without storing credentials in the index.

Do not take customer information, colleague records, internal business reports or company confidential documents as part of a personal archive. A broad folder download can include material you did not intend to retain. Review the contents before moving anything to personal storage and follow the employer’s applicable handling rules.

Plan for later documents

A tax form or correction may arrive after your last workday. Put the expected record in your inventory with its year and retrieval route, while verifying actual timing through current official guidance. The missing-W-2 guide explains how to prepare if a document remains unavailable.

The IRS retention guidance makes clear that record needs depend on circumstances, and the FTC recommends protecting personal records. Use the archive method to preserve useful evidence securely. A successful departure checklist ends with known gaps and known contacts, rather than a promise that every future record is already complete.
